A large international e commerce organization operating in numerous countries encountered substantial operational challenges while transitioning from an in-house legacy system to a modern SaaS rental software that was specific to their business niche. The goal was to update their operations, and gain more insights from data but they faced difficulties in visualizing real-time activities across their various depots.
Simple solutions were not sufficient to cater to the clients need. The client needed more than just a system for data aggregation and display; they required a real time solution that integrated seamlessly with their unique operational practices and software environment. Due to the scale and volume of their business, missed orders were leading to significant financial losses.
The initial phase involved detailed discussions with warehouse personnel to understand their workflow, usage patterns, and specific needs. Based on these insights, the design team collaborated to develop a user requirement document that was later translated to a software requirement specification which guided our team in developing a user interface (UI) that met both aesthetic and functional requirements. Each UI element, from color-coded indicators representing meaningful metrics to detailed features enhancing user experience, was meticulously crafted to ensure operational efficiency.
A significant technical challenge was interfacing with an undocumented and niche rental software. The team engineered a straightforward yet robust data pipeline, avoiding overly complex solutions. This pipeline efficiently transferred data, overcoming constraints of limited network bandwidth and system documentation without incurring a huge recurring cost or vendor lock from any specific cloud provider.
To refine the operational process, a reactive Kanban system was introduced within the dashboard. This feature dynamically displayed the preparation stages of orders across depots, integrating specific metrics and trigger-based flags to enhance monitoring and response capabilities.
Understanding the importance of team interaction in managing operations, a feature was developed to leverage natural language in the form of comments from discussion logs. This allowed for a richer context in operational decisions, ensuring a deeper understanding of on-ground challenges and requirements.
The solution was deployed on Azure as per the client’s requirements, ensuring scalability and adaptability to their evolving business needs.
The bespoke dashboard significantly improved visibility across the client’s depots, ensuring no order was overlooked or delayed. This was a crucial enhancement, given the client's history of financial losses due to operational inefficiencies. The new system not only aligned with the client's workflow but also adapted to their evolving business needs, offering a scalable solution that supported their global operations.
